One row per task, one bar per duration, time running from left to right. A steering committee reads it without training, and so does a subcontractor.<\/p>\n\n<p>Yet most of the Gantt charts we see in our training rooms share the same flaw. Someone drew them carefully once, and then nobody updated them again. As a result, three weeks later, the schedule on the wall no longer matches the real project, and the whole team knows it.<\/p>\n\n<p>In fact, the choice of tool plays a big part in that. A Gantt chart in Excel works well for a fifteen-task project, but it turns into a chore as soon as dependencies pile up. Conversely, firing up Project to organise an offsite is like hiring a crane to hang a picture. This article therefore walks you through the three most widely used Microsoft tools, then gives you a simple way to choose the right one.<\/p>\n\n<h2 id=\"preparer\">What to prepare before you open any tool<\/h2>\n\n<p><img decoding=\"async\" src=\"https:\/\/www.itta.net\/wp-content\/uploads\/2026\/09\/preparer-liste-taches-projet-1.webp\" alt=\"two colleagues lining up task cards to prepare a project schedule\" loading=\"lazy\" \/><\/p>\n\n<p>A Gantt chart does not invent anything. It simply lays out information you should already have. In fact, if you open the software before gathering it, you will spend your time dragging bars around at random.<\/p>\n\n<p>First, collect these five elements, on paper or in a plain list:<\/p>\n\n<ul>\n<li><strong>Your tasks<\/strong>, each written with an action verb and a verifiable outcome: &#8220;Approve the mock-up&#8221; rather than &#8220;Mock-up&#8221;.<\/li>\n<li><strong>The duration of each task<\/strong>, in working days, estimated by the person who will do the work.<\/li>\n<li><strong>Dependencies<\/strong>: which task must finish before the next one can start?<\/li>\n<li><strong>Every milestone<\/strong>, a zero-duration moment that marks a decision or a delivery.<\/li>\n<li><strong>One owner per task<\/strong>, with a name, never &#8220;the team&#8221;.<\/li>\n<\/ul>\n\n<p>Take a concrete example: moving a twenty-person office. The list fits in a few lines. Choose the premises, sign the lease, order the furniture, have the network installed, move the equipment. Each task has a duration, and several depend on the previous one: you cannot cable premises you have not rented yet. Signing the lease, meanwhile, becomes a milestone. With those five lines, you already have everything a tool will ask you for.<\/p>\n\n<p>Next, aim for the right level of detail. In practice, a task shorter than a day clutters the chart without adding anything. On the other hand, a six-week task hides delays until the very last moment. Somewhere between two and ten days, the chart stays readable and easy to steer.<\/p>\n\n<p>Finally, map the dependencies carefully, because they are what turn a drawing into a management tool. Without links between tasks, a delay on one of them moves nothing else. The schedule then stays pretty and wrong.<\/p>\n\n<h2 id=\"excel\">Excel: a Gantt chart built from stacked bars<\/h2>\n\n<p><img decoding=\"async\" src=\"https:\/\/www.itta.net\/wp-content\/uploads\/2026\/09\/diagramme-de-gantt-excel-tableur-1.webp\" alt=\"professional building a gantt chart in a spreadsheet\" loading=\"lazy\" \/><\/p>\n\n<p>Excel has no ready-made Gantt chart type. Microsoft says so in its <a href=\"https:\/\/support.microsoft.com\/en-us\/excel\/present-your-data-in-a-gantt-chart-in-excel\" target=\"_blank\" rel=\"noopener\">guide to presenting your data in a Gantt chart in Excel<\/a>: the method is to customise a stacked bar chart. The result looks convincing, and it is enough for a simple project.<\/p>\n\n<h3>Build the source table<\/h3>\n\n<p>Create a table with four columns: Task, Start, Duration (in days) and End. The End column should be calculated, not typed. For instance, with a start date in B2 and a duration in C2, the formula =B2+C2 returns the end date. If you want to skip weekends, use =WORKDAY(B2,C2) instead.<\/p>\n\n<p>Then make the dates depend on each other. For a task that starts after the previous one, the Start cell simply refers to the End date of the row above. As a result, changing a single duration shifts everything that follows, which mimics the dependencies of real scheduling software.<\/p>\n\n<h3>Turn stacked bars into a Gantt chart<\/h3>\n\n<ol>\n<li>Select the Task, Start and Duration columns.<\/li>\n<li>On the Insert tab, choose a bar chart, then the Stacked Bar option.<\/li>\n<li>Click the first series, the start dates, and apply No Fill. The start bars disappear and only the durations remain visible.<\/li>\n<li>Select the vertical axis, open Format Axis and tick &#8220;Categories in reverse order&#8221;, so the first task shows at the top.<\/li>\n<li>Finally, set the minimum of the horizontal axis to the project start date. Excel expects a number here: type the date in a cell, switch it to the General format, and you get the value to enter.<\/li>\n<\/ol>\n\n<h3>The conditional formatting alternative<\/h3>\n\n<p>Some teams prefer a Gantt chart drawn directly in the cells. In that case, put one date per column to the right of the table, then create a conditional formatting rule with a formula such as =AND(E$1>=$B2,E$1&lt;=$D2). Every cell that falls between the start and the end gets coloured.<\/p>\n\n<p>This version has a real advantage: it prints cleanly and reads like a calendar. However, it becomes unwieldy beyond a few months, because every day takes up a column.<\/p>\n\n<p>Either way, keep Excel&#8217;s limits in mind. The workbook knows nothing about resources or the critical path. Moreover, a schedule that ten people edit by hand quickly becomes fragile. The Timeline view is one of the <a href=\"https:\/\/support.microsoft.com\/en-us\/planner\/teams\/advanced-capabilities-with-premium-plans-in-planner\" target=\"_blank\" rel=\"noopener\">advanced capabilities of premium plans<\/a>, along with advanced dependencies, milestones and the critical path. It therefore requires a dedicated licence: Planner Plan 1, Planner and Project Plan 3, or Planner and Project Plan 5. Without one, the app offers a free trial or lets you request a licence from your administrator.<\/p>\n\n<p>If your team already works in Microsoft 365, this is often the most natural option. After all, the plan sits right next to the project&#8217;s conversations and files, and everyone updates their own tasks.<\/p>\n\n<h3>Create the plan and enter the tasks<\/h3>\n\n<ol>\n<li>In Planner, go to My plans, create a new plan and choose the Premium plan option.<\/li>\n<li>Switch to Grid view to enter tasks, durations and owners quickly, as you would in a table.<\/li>\n<li>Group tasks under summary tasks, one for each major phase of the project.<\/li>\n<li>In each task&#8217;s details, specify which task it depends on.<\/li>\n<li>Switch to Timeline view: the tasks now appear as bars, linked by their dependencies.<\/li>\n<\/ol>\n\n<h3>What the Timeline adds<\/h3>\n\n<p>The Timeline view does more than draw. Since the dependencies are real, it recalculates dates whenever a task slips. In addition, it can highlight the critical path, meaning the chain of tasks where the slightest delay pushes back the end date.<\/p>\n\n<p>Planner Premium also supports start-to-start or finish-to-finish dependencies, milestones and a working calendar for each plan. For a three- to six-month team project, that covers the essentials.
