Collect answers in minutes, not days

Microsoft Forms is the Microsoft 365 tool to quickly create forms, questionnaires, surveys and quizzes. It targets a common use: asking questions to a group (collaborators, clients, event participants, students) and collecting responses in an exploitable table, without deploying a third-party tool (SurveyMonkey, Typeform, Google Forms). Launched in 2016 and progressively enriched, Forms has gained functional richness (conditional logic, branching, ranking, file upload, Power Automate integration, instant analysis) while remaining very simple to access.

Forms is accessible to enterprise Microsoft 365 users (via the suite) and personal Microsoft accounts (consumer). It is used from the browser, without installation, and synchronises responses to a linked Excel sheet, allowing direct exploitation or via Power Automate / Power BI. The distinction Forms vs Customer Voice (formerly Forms Pro, more CRM Dynamics 365 oriented) is useful: Forms remains the generalist tool, Customer Voice manages structured client surveys for CRM.

Forms – Get Started

The Forms – Get Started course is designed to enable a rapid and productive Forms adoption. The programme covers creating a form or a quiz, the different question types (single choice, multiple choice, short text, long text, rating by stars or notes, date, ranking, Likert scale, file upload, image choice), layout and personalisation (theme, logo, background image), conditional logic (branching according to responses), collection settings (nominative or anonymous, restrictions to the organisation, closing dates, one response per person), sharing (link, QR code, embed on SharePoint or Teams, email invitation link), collection and analysis of responses (real-time results, automatic statistics, Excel export), and integration with Power Automate to trigger a flow at each response (notification sending, SharePoint item creation, send to Dataverse).

Forms in the ITTA ecosystem

Forms is closely integrated with Microsoft 365 and complements several other tools. The Microsoft 365 publisher covers the global environment where Forms fits (SharePoint, Teams, OneDrive, Outlook). The Microsoft Power Automate publisher is very complementary as Power Automate flows are typically triggered by a Forms response (use cases: approval, notification, SharePoint update, Dataverse addition). The workflows and automation sub-domain regroups training on automation and orchestration in collaborative environments. For collaborative uses with team sharing, the Microsoft Teams publisher is complementary (Forms can be integrated as a Teams tab).

Event registration

Registration form with contact details, slot choice, options. Collected responses, automatic confirmation email sending via Power Automate, data aggregation in SharePoint.

Training or evaluation quiz

MCQ quiz with automatic scoring, feedback per question, success certificate. Widely used in internal training or education.

File collection

With the file upload option, you can collect CVs, supporting documents, project documents. Files are automatically stored in OneDrive or SharePoint.

Forms trends in 2026

Several trends shape Forms in 2026. Integration with Copilot allows generating a form draft from a natural language description (“create a form to evaluate a training with 5 questions on content and trainer”). Analytics evolves with automatic Copilot summaries of open responses. Forms integrates more deeply with Power Automate (native triggers) and Power BI (response visualisation). The file upload option has been enriched, opening document collection use cases. GDPR best practices (personal data collection, retention, consent) remain a central topic for organisations.

Forms or a third-party tool (SurveyMonkey, Typeform, Google Forms): which to choose?

For organisations on Microsoft 365, Forms is very relevant: no additional cost, native integration with Power Automate, SharePoint, Teams, Excel, Microsoft 365 compliance (GDPR, data residency). Third-party tools keep an advantage on advanced design functions, strong branding, or specific CRM integrations. For structured enterprise needs, Customer Voice (formerly Forms Pro) is the Microsoft evolution.

Is Forms free?

Forms is included in most Microsoft 365 enterprise and education subscriptions. It is also accessible with a personal Microsoft account (consumer). Limits (number of responses, advanced features) depend on the account type.

Are responses confidential?

Survey writing best practices

Beyond technical mastery of Forms, response quality largely depends on question quality. A few principles: ask only one idea per question, avoid double negatives, limit total question count (ideally less than 15 for an internal poll, less than 30 for an in-depth survey), start with easy questions, keep sensitive or demographic questions at the end. The course addresses these writing principles to maximise response rate and data quality, rather than only tooling mastery.
